Mail, Packages & Deliveries

Correctly addressed first class mail is sorted into student mailboxes Monday through Friday. Correct addressing is vitally important to speedy delivery of mail through the postal system and to residents. To view the correct address for a particular College House, please visit the information page for the College Houses & Sansom Place.

In all buildings, mail is sorted and delivered by Datrose, Inc, an outside vendor contracted by the University to manage residential mail and package services.

During Move-In, alternate notification may be used, e.g. package slips in student mailboxes, or lists posted at pick up locations during this high volume time.

New for For Fall 2011!

On Campus Package Services for Off Campus Residents as of October 3, 2011

Starting on October 3, Residential Services and Datrose Inc, will accept and process parcels for any current student with a valid PennCard. Services will be offered for the academic year.

To register: Go to any residential package room to register*. You can download the registration form here.

  • After presenting a valid PennCard, complete and submit registration materials. You may do this at any residential package room
  • Students MUST register in order to participate.
  • Student will supply name, current address, a working email address, a phone number, and a start and end date based on Penn’s academic calendar. Services will only be provided during the academic year. 

Registration Details:

  • Datrose will register all users and  be responsible for maintaining all user information
  • Registered users will be assigned a unique address corresponding to the residential package room that will be the package delivery address. 
  • Once registered, students will need to use the address for all expected package deliveries by any delivery company.
  • The address will apply only to package deliveries. Letters or postcards will not be accepted and should be sent to the student’s off campus or fraternity or sorority postal address.

How will the service work?

  • Datrose will accept packages for registered students.
  • Upon processing of package(s) received, 3 email notifications of arrival will be sent to the resident.
  • Packages not picked up in response to these notifications will be returned to sender after 5 business days of the arrival of the package to the package room.  
  • If a student needs a package to be held for more than 5 days, they may request this by emailing mailpkgservices@datrose.com in advance. A package may be held for more than 5 days, but will not be held longer than 30 days. There will be no charge for this.
  • Any package not picked up at the end of 30 days will be recycled or disposed of as appropriate, per Postal regulations.
  • Packages will be held over Winter and Spring Breaks.
  • Expected packages must be under 25 lbs. in weight 
  • There will be a $4.00 charge per package, cash only, accepted by Datrose.
  • Datrose will provide Residential Services with names, PennCard numbers, e-mail address and the package room assignments to enable users to enter buildings over the break periods.

Limits of Service:

  • Datrose will accept and hold parcels weighing 25 lbs or less for those who register.
  • Parcel holding will begin on the date you provide, and will end on the date you provided.
  • Letters, magazines, postcards, bulk mail, newspapers, any oversize letters will not be processed or held.

  To pick up a parcel:

  • You will be notified via email of the arrival of your parcel.
  • You must bring the email and a PennCard to the designated package room
  • $4.00 processing fee will be charged for each parcel that you pick up.
  • Transactions will be in cash only.
  • Parcels must be picked up within 5 business days of the arrival of the parcel.

2011 Summer Hold Program

The Department of Housing Services will be providing services to accept and hold postal mail for students traveling internationally over the summer of 2011, through established residential mail operations contracted to Datrose, Inc., the current provider.
Who can use the services?

  • Any student, with a current on-campus resident address, leaving the country from May 1 – September 1, 2011.

When will they start?

  • Services will be available for Summer 2011, from May 1 – September 15.  

How will students sign up?

  • Datrose will conduct registration and will be responsible for maintaining all user information.
  • Students will enroll by completing a registration form at any residential package room.
  • Student will supply their name, current address including mailbox number, email address, Penn ID, and potential summer (foreign) address.
  • They must provide a start date and end date within the service dates provided.
  • Once registered, any first or second class mail coming to the student’s mail box at time of departure from campus will be sorted and held until the student’s return to campus at the end of the summer.

How will the service work?

  • Datrose will accept US postal mail for registered students.
  • The services will be provided only within the dates provided by the student.
  • Bulk mail, magazines and newspapers will not be processed or held.
  • At the end of the summer, students returning to campus must send a pick up request to the email address supplied by Datrose at the time of registration.
  • Student may pick up the mail at the mail hold facility located at 3650 Chestnut St. Sansom Place West basement, next to the laundry room. Hours of operation will be 10:00am - 8:00pm during the hold period.
  • Towards the end of the hold period, students will be sent 2 email reminders to retrieve their mail from the mail hold facility.
  • Any mail not picked up by September 15th will be returned to sender.
  • Datrose, Inc. will provide Housing Services with names, PennCard numbers, e-mail addresses of students registered.

Once registered, you’ll receive email confirmation and a temporary address to be entered into Penn InTouch:

IMPORTANT!!!

1) Do NOT change your Spring mailing address for family, friends, banks, businesses, etc. Datrose will process mail as it is sent to your Spring semester mailbox address.

2)  DO change your temporary address in Penn In Touch, using the address that Datrose sends you in this email. This will let them use that record to generate hold labels for your particular summer account.  

This email from Datrose will include instructions on how to pick up your mail at the end of the summer.
