Preparing Arriving    Living

***RESIDENTIAL VISITOR ACCESS PROCEDURE FOR MOVE IN***

Move-In is a busy time on campus. We experience high foot traffic in our on campus residences including additional visitors, family and friends.

The safety and security of our residents is our utmost priority. The residential access policy for on campus residences is as follows:

  • Visitors must be with a resident and show a photo ID and visitor access pass to enter the building.
  • ALL visitors MUST have an access pass and photo ID: family, friends, anyone assisting a resident move in.
  • The resident is responsible for their visitor(s) and their actions while they are in the residence, and
  • At NO time should a resident sign in a visitor or someone they do not know.

Access passes will be issued at various residential locations throughout move in. They will be issued in the presence of both the host resident and visitor; the visitor must produce a photo ID to receive the pass, and must also show both the pass and photo ID to enter the building with their host.

Please be patient while we accommodate so many visitors to the College Houses and Sansom Place, while keeping the safety of our residents intact.

Preparing for Your Move to Campus

What to Bring
Each resident receives basic furnishings: a bed (36" x 80" x 6", twin extra-long), a desk, a desk chair, and a dresser. In some cases, lamps or ceiling lights are provided, but you will still want to bring additional lamps. Some apartment units come equipped with a dining table and chairs, a sofa, and a side chair. You are discouraged from bringing your own furniture. The University-owned furniture in your room cannot be removed or stored.

Washing machines, dryers, public telephones, and lounge areas are provided in the College Houses and Sansom Place.

If you have a roommate(s), it's a good idea to check with him/her in advance to decide what each of you will bring. Remember, you will have limited space and electrical outlets.

Things to bring to Penn:
• Small personal hand truck for move-in (Note: There is a limited number of moving carts for you to borrow)
• Pillows, blankets/comforter, a foam or other mattress cover (mattresses are fire-resistant, plastic-surfaced), bath towels and bed sheets (most beds are 36"x 80"x6", twin extra long); laundry service is available from Penn Student Agencies, (215-898-6815)
• Hangers
• Soap (laundry and bath), soap dish
• Small shower caddy to carry your things to the bathroom, shower shoes
• Laundry bag/basket/hamper, throw rugs or area rugs
• Wastebasket and recycling can
• Sewing kit
• Computer
• Power strip with surge protector
• Mirror
• Telephone
• Additional ligh t- Floor or desk lamp(s) - halogen lamps are not permitted
Compact Fluorescent Lightbulbs (CFLs)
• Flashlight
• Alarm clock
• Can opener
• Broom or small hand-held vacuum. Full-sized vacuum cleaners may be borrowed from your Information Center.
• Fan
• Plants
• Pictures/posters to make your room "home"
• Double-sided tape
• Food storage containers made of glass, plastic, rubber or tin with lids.
• Plates, mugs, silverware
• Cleaning products. The University provides housekeeping service to the shared baths in the traditional dormitory style residences and in all community areas including hallways, lobbies, laundry rooms, etc. All residents are expected to maintain a reasonable level of order and cleanliness in rooms and to maintain proper health and safety conditions.
• Personal care items (soap, shampoo, toothbrush, toothpaste, deodorant, etc)
• Towels
• Toilet Paper
• Laundry detergent, iron, small ironing board, drying rack
• Water filter pitcher

Packing tip: GO GREEN! When packing to move to Penn, consolidate where possible in order to eliminate extra cardboard boxes. When purchasing lightbulbs for your room, make sure they are the compact fluorescent type. Also, using a power strip with surge protector is not only energy efficient, but also helps protect your electronics against power surges. Here are some items to consider to make your room green:

  • Reusable plates, cups and utensils (Preferably not plastic)
  • Smart Strip or surge protector
  • Bring Energy Star appliances (TVs, Computer Monitors, Refridgerators, etc.)
  • If you bring a TV, bring a flat, LCD screen. It can use 1/3 less energy than a standard, CRT television.
  • Reusable water bottle (SIGG, Nalgene, etc.) – Have quench machine in McClellan
  • Cloth Napkins
  • Power Strips (so electronics can be easily unplugged while not in use)
  • Reusable Shopping Bags (recommend three)
  • Recycled Paper
  • Organic Towels and Sheets
  • A Bedspread or Quilt from Home
  • Recycling Bins
  • Green Cleaning Supplies and Detergent
  • CFLs for Lamps or Other Fixtures
  • Green Cleaning Products

Some items that are donated to PennMOVES, our end of the year Move-Out Drive, include bed risers, ironing boards, plastic underbed and other storage. Consider using soft-sided storage made from recycled materials instead of hard plastics.

Over the summer, new students can also log on to www.Penn2013.com and join the discussion through Penn's Class of 2013 Facebook page!

For additional suggestions on what to bring, or to order items from your room check:

Bed, Bath and Beyond or Linens-N-Things

Bicycles
Bicycles must be stored in your room or on bike racks located near most academic buildings and residences. Secure bikes to racks with sturdy locks and register them with the University Police. See the Residential Handbook. Visit Campus Express to learn more about property registration.

Decorating
When personalizing your room, you may use hangers with small nails, tacks, or push pins. Tape is not permitted. Room partitions are prohibited; you may not build anything that attaches to the floor, ceiling or walls. You will be charged for damages considered in excess of normal wear. Maintenance staff must do all room painting and repair; non-adherence to this will result in substantial fines. Specific information on decorating is outlined in your Residential Handbook.

Electrical Appliances
Stereos, TVs, radios, irons, non-commercial hair dryers, microwaves, computers, and other similar appliances are permitted unless specifically prohibited by Residence Policy. The use of extension cords is discouraged; power strips with surge protectors are preferable. Space heaters, air conditioners, open-coiled appliances, dishwashers, washing machines, and freezers are not permitted. Any unapproved appliances will be removed. Safety inspections are conducted throughout the year to insure compliance.

Pets
The only pets permitted in the University residences are fish that can be kept in a small aquarium not larger than 20 gallons. All roommates must agree on having acceptable pets. See the Residential Handbook for the full pet policy.

Refrigerators
Students in certain room types are provided with kitchens, some of which have refrigerators. You may also choose to bring your own small refrigerator.

The University* works with Campus Specialities, Inc. to provide a microfridge rental service. For information on how to rent a microfridge, prices, and delivery to your residence, visit www.campusspec.com, or call 1-800-525-7307.

*Housing Services is a department under the auspices of the University's Division of Business Services. Consistent with the mission of the overall division, our underlying philosophy is to provide our clients with high quality service in a fiscally responsible manner. Being an operation within the University, we share Penn's status as a not-for-profit organization and proceeds earned from our sales and supplier partnerships support the costs associated with maintaining the operation of the enterprise.

Trunks and Storage
Storage space for trunks, suitcases, boxes, etc., may be provided in an individual residence; check with your College House staff for more information. The University is not responsible for belongings left in storage. All belongings must be removed from storage by the end of your occupancy period. Penn Student Agencies offers storage for students; contact them for details 215-898-6815.

SAFE RENTALS: If you would like to rent a safe for your in-room use, the University partners with a company called SafeDecisions. For a fee, they will install a safe in your room for your own personal storage and use. Please contact SafeDecisions for details and to rent your safe!

Insurance
The University does not provide insurance for damage or loss to your property. We strongly advise you to arrange for coverage of all property you bring on campus and into your residence. You may have coverage through a homeowner's or renter's policy of the household in which you live; check the applicable policy for its terms. National Student Services, Inc., P.O. Box 2137, Stillwater, Oklahoma 74076- 2137, 800-256-6774, is one company that provides property coverage for students living in residences. Visit their website www.nssinc.com. The University is not responsible for any private student property insurance carriers.

Move-In Instructions for Fall 2009
Tips:
• Please be advised: there is heavy congestion associated with move-in traffic.
• Parking to unload is not permitted on any grassy area.
- Unloading passes and temporary guest passes can be created online at campusexpress.upenn.edu. *Please note that unloading passes have a 1-hour time limit.* Click on“My Housing”, and follow the links to “My Move In”. You can print your own passes and bring them along. This service will become available beginning in early August.
- There will be unloading areas designated throughout the campus. Please plan to unload your vehicle in those areas and then to move your vehicle to alternate parking. Complimentary garage parking for the entire day of your arrival will be available on peak move-in days in order to facilitate unloading for all, and convenience for you.
Enforcement of the unloading time limit is stringent and is done in interest of accommodating the arrival of many students to our urban campus.
•You are strongly encouraged to bring a hand truck or similar moving-type equipment. Please note, there is a limited number of moving carts for you to borrow.

For your safety...
• Do not pay a stranger to help move your belongings.
• Never sign-in a person you do not know into the residences.
• Do not leave your possessions unattended.
• You will receive a room key when you move in. Some residences issue exterior door and mail box keys as well. It is prohibited to duplicate these keys.

Keys and Access:

Keys are available at your building Information Center (open 24 hours/day, 7 days/week) or the designated table/tent during the scheduled move-in times (Sunday, August 30, and Wednesday, September 2 through Monday, September 7). You do not need a PennCard to pick up your key(s), but you do need some form of photo ID (though a PennCard will do if you already have one). It is prohibited to duplicate these keys.

If you are living in Class of 1925, your PennCard will be activated to operate your room door lock, at the Class of 1925 Information Center.

For further information regarding key policies and charges, refer to your Residential Handbook. Access to residence buildings is permitted when an individual shows a valid PennCard or temporary access pass to the 24-hour security officer

QUAD RESIDENTS: Please note, residents of Fisher Hassenfeld and Riepe College Houses should go to the Ware College House Information Center, located in McClelland Hall's main lobby, to pick up keys and check-in except hen the Quad check in tents are open and staffed.

Move-In Assistance
Move-In Assistance During Peak Move-In Dates and Times
:

From your car to the College House or Sansom Place:
Permits to unload your car are required at all of the College Houses and at Sansom Place. You can create your own unloading permit and temporary pass at “My Housing” on Campus Express. This service will become available beginning in early August. Student volunteers or staff will also be on hand to issue unloading permits for those who have not created them ahead of time.
Cars are subject to immediate removal if permits are not visible, legible, and in place on windshields. Penn Police monitor unloading activity and will ticket or tow any vehicle remaining for over one hour or that is left unattended with no identification.

Over-sized vehicles (such as large commercial moving trucks and vans, UHauls and box trucks) will not be allowed to enter into the designated unloading zones or parking lots and will be relocated to a different area. It is very likely that you will be placed in an area farther from where you live.

For ease in handling, and to avoid loss, all baggage should be packed in labeled trunks, suitcases, and sealed cartons. If you must bring clothes on hangers, tie the hangers securely together and tag them with your name and room number. Bulky, oversized items that cannot be packed should be labeled. The University will not be responsible for lost or damaged items. We must maintain strict traffic control, so please adhere to the Move-In schedule. Please plan on pulling up to your designated unloading area to unload only. Be prepared for possible delays in unloading and adhere to all directions.

Carts:

There are a limited number of moving carts available. It is suggested that you bring a hand truck or similar item to assist you in moving your belongings. If you borrow a cart, please be respectful of the needs of other residents by returning it on time. Not having access to a cart is NOT an acceptable reason for remaining beyond the one hour allotted unloading zone time limit.

  • Only current residents are permitted to borrow carts. Residents of other campus buildings must go to their building to borrow a cart.
  • Carts may only be borrowed for ONE HOUR.
  • Carts are not to be loaned to off-campus students or previous College House and Sansom Place residents.
  • To borrow a cart, the resident should go to the Information Center or Cart tent and provide his/her PennCard. Parents will be unable to sign out carts for their children.
  • Charges will be assessed for late-returned or not returned carts. $100 for cardboard carts and $300 for the plastic carts.

Mail/Packages:

Mail Rooms:
Mail services in all buildings will start on Friday, August 21 with RA Move-In.

Package rooms:

In-building package hours:
9:00am to 8:00pm,  Monday through Friday
10:00am-4:00pm, Saturday

Mail delivery begins several days before the official start of occupancy. Mail and parcel shipping to campus should be timed to arrive at or after move in due to lack of storage space for the high volume of parcels shipped at this time of year.

Residents of buildings with keyed mailboxes will receive their mailbox key at check-in. Those residents living in buildings with combination lock mailboxes may pick up their mailbox combination at their package room or at their Information Center. You will receive either a key or a combination to your mailbox upon arrival.

Unloading Access, Parking Limits, Free Off-Site Parking on Peak Move-In Days:
Please be aware that for most buildings you may only stop to unload your automobile. Unloading permits are available through “My Housing” at Campus Express. This service will become available in early August. Student volunteers will also issue unloading permits on site. On peak Move-In days, complimentary parking is provided in university garages. We ask students and their families to unload belongings and immediately move their car to the free parking lots so as to help us maintain traffic flow in our streets on these busy days.

Make sure you check parking signs before parking or putting money in a parking meter. The Philadelphia Parking Authority will ticket in areas that are not posted by the University for move in access.

Complimentary parking will be available with a parking voucher obtainable from Move-In staff.

TIP: Unload your car, bring your items to the room or apartment, and then move the car to our complimentary parking. Then you’re free not only to set up your room but also to roam campus and take care of other business.

KEYS AND CHECK IN:

On all dates EXCEPT September 2 and September 3, keys will be available for check in at the Ware Information Center at McClelland Hall, beneath the Junior Balcony in the Lower Quad. Bring a photo ID or a PennCard to verify your identity and your room assignment.

FRESHMAN MOVE-IN (September 2 and September 3)

  • Spruce Street will be closed from 38th Street to 34th Street between the hours of 8am and 8pm on September 2 and from 8am to 4pm on September 3 for these residents. Therefore, traffic around the Quadrangle will become a one-way traffic flow going eastbound on Spruce Street. Students moving into these areas should enter the unloading zone at 38th and Spruce Street.
  • You will enter Spruce Street from 38th and Spruce.
  • If you are driving north on 38th and University Ave, use the extreme right lane to prepare to turn onto Spruce Street
  • If you’re driving south on 38th, you’ll be turning on to Spruce from the extreme left turn lane. You will be directed by University Police and Move-In staff as you approach.
  • University Police and Move-In staff will greet you and direct you to unloading areas. If you are moving into the Lower Quad, you’ll be directed through the queue to the eastern end of the Quad; Upper Quad residents, mostly Fisher Hassenfeld, some Ware residents, and Stouffer residents will park on the west end of Spruce Street.

Help us minimize congestion and provide unloading access for everyone! Plan to unload your car, move it, and then return to your room to organize your space, particularly if you’re arriving in more than one car. Complimentary parking will be provided at campus lots with a parking voucher, available from Move-In staff.

KEYS AND CHECK IN:

On September 2 and September 3, from 8 am – 8 pm, keys can be picked up from the check-in tents:

  • Upper Quad for Fisher Hassenfeld, near 37th St. archway inside the Quad
  • Lower Quad, for Riepe and Ware, near the 36th St archway inside the Quad

Bring a photo ID or a PennCard to verify your identity and your room assignment.

CARTS:

From 8 am – 8 pm, only on September 2 and September 3, move-in attendants will be available to provide assistance with carts and unloading cars. This is primarily to keep traffic moving and to free up parking spaces through the day. Note that the Quad is a historic building with few elevators – there are a lot of stairs, depending on where your room is located. It would be helpful to bring a small handtruck or luggage trolley and to pack in smaller boxes, distributing heavy items and only putting light items in larger boxes or containers. This will make carrying items upstairs less strenuous.

In order to unload in either area, an unloading permit (with a 1-hour time limit) must be obtained from the Move-In staff who will be distributing them on the street. Passes may also be obtained in advance from Campus Express by logging on to campusexpress.upenn.edu. Upon arrival, Move-In staff will timestamp your pass. The information on the permit must be printed legibly and it must be placed visibly on the dashboard. A cell phone number must be provided in case of emergency contact. Drivers are asked to stay with the vehicles and cars will be towed or ticketed if the time limit for unloading is exceeded.

There will be golf cart shuttles on September 2 and September 3 to transport parents and students to and from the Quad to the Lot 40 parking garage (Fresh Grocer Lot), which is the largest complimentary parking area.

Stouffer Building : ( 3702 Spruce Street) All dates except September 2 and September 3:

Unloading access will be from posted metered spaces on Spruce Street. Unloading passes (good for 1 hour) will be issued from the guard booth at Stouffer or by move-in staff, along with a parking voucher for complimentary parking at select campus lots.

HINT: Unload your car, bring your items to the room or apartment, and then move the car to our complimentary parking. Then you’re free not only to set up your room but also to roam campus and take care of other business.

KEYS AND CHECK IN:

On all dates EXCEPT September 2 and September 3, keys will be available for check in at the Stouffer guard booth. Bring a photo ID or a PennCard to verify your identity and your room assignment.

CARTS: Stouffer Building does not have an elevator. Student rooms are only accessible by stairs. Carts can be signed out from the Stouffer guard booth to ferry things from your car to the building entrance, however, at that point, the only way to get your belongings into the building is by carrying them. Packing your items in smaller boxes will help, as will distributing heavy items among your containers. Bring extra help and a handtruck, which is easier to maneuver up the stairways of the building.

STOUFFER FRESHMAN MOVE-IN: September 2 and September 3

Spruce Street will be closed from 38th Street to 34th Street between the hours of 8am and 8pm on September 2, and between 8am and 4pm on September 3 for these residents. Therefore, traffic past the Quadrangle entrance will become one-way going eastbound on Spruce Street. Students moving into these areas should enter the unloading zone at 38th and Spruce Street.

  • You will be entering Spruce Street from 38th and Spruce.
  • If you are driving north on 38th and University Ave, use the extreme right lane to prepare to turn onto Spruce Street
  • If you’re driving south on 38th, you’ll be turning on to Spruce from the extreme left turn lane.

    • 34th Street between Chestnut and Walnut.

In order to unload, an unloading permit (with a 1-hour time limit) must be obtained from the Information Center. Passes may also be obtained in advance from Campus Express by logging on to campusexpress.upenn.edu. The information on the permit must be printed legibly and it must be visibly shown on the dashboard. A cell phone number must be provided in case of emergency contact. Drivers are asked to stay with the vehicles and cars will be towed or ticketed if the time limit for unloading is exceeded.

Carts will be available from either the Information Center of your building or the move-in tent located outside of your building. Observe the cart loan policies to avoid charges. There are a limited number of carts; you might consider bringing your own wheeled handtruck or luggage trolley or other similar moving equipment to expedite your move.

Vehicle Access to Buildings
Parking access to the residences will be limited in space and duration due to the sheer volume of students moving in. We will be enforcing time limits in UNLOADING ONLY areas for all students.

General unloading information:

  • All unauthorized vehicles (or vehicles not abiding by unloading policies) in or around residences will be ticketed and towed at the owner’s expense.
  • Housing Services and the University of Pennsylvania are not responsible for parking tickets issued by the City of Philadelphia.
  • Do not to leave your possessions unattended, whether in a cart or a car (even for a moment).
  • Always lock your car doors.
  • Do not leave your apartment unlocked while unloading your car.

Vehicles are only allowed to unload with a non-expired permit visibly displayed on the dashboard. Unloading permits will be distributed by Move-In staff. You might also wish to print out unloading permits on Campus Express in advance to avoid rush, but be sure to have Move-In staff validate the pass day and time upon arrival. Complimentary extended parking vouchers may be obtained from Move-In staff for designated garages during specified days and times. If you are finished unloading, please utilize these free parking locations until you are ready to leave the University.

Please note that over-sized vehicles will not be allowed to enter into the designated unloading zones or parking lots, and will be relocated to a different area. It is very likely that you will be placed in an area farther from where you live. Therefore, please try to avoid using large moving trucks and U-Hauls.

Frequently Asked Move-In Questions

How early can I move in?
Official early move-in begins on Sunday, August 30, and no earlier. College Houses that have been in use through the summer undergo detailed room inspection and turnover processes. As a result, we cannot allow any fall arrivals prior to Sunday, August 30. Additionally, services and duty staff are not in place to assist new residents before this date. Please also see our Early Move-In section above.

Will my family and friends be able to enter my residence at Move-In?
Yes. Access passes will be issued at various residential locations throughout move in. They will be issued in the presence of both the host resident and visitor; the visitor must produce a photo ID to receive the pass, and must also show both the pass and photo ID to enter the building with their host.

I am a graduate student living in Sansom Place and my program starts before the official move-in date. Can I move-in before then?
Yes. Please email Yolanda Hayes to make accommodations unless you have already turned in your early move-in request form.

If I'm flying to Philadelphia, what airport should I fly into?
This will depend on your point of departure. Philadelphia International Airport is about 20 minutes from campus, and is accessible by taxi, shuttle or regional rail (trains). Airports farther away include Newark Airport in New Jersey, JFK and LaGuardia in NY, Baltimore-Washington International in MD, and Dulles/Reagan in Washington DC, as well as numerous smaller, regional airports. These airports are substantial distances from Philadelphia and Penn. While your airfare may be less expensive to fly to an airport outside of the immediate Philadelphia metropolitan area, you may end up paying a premium to get to campus from that airport.

I'm taking the train to Philadelphia; what is the closest train station to Penn?
Amtrak's 30th Street station is a hub for both regional rail and Amtrak trains and is convenient to campus by taxi, bus, trolley and even walking.

My family wants to stay in Philadelphia overnight to be ready to move in early the next day, where should they stay?
The two campus hotels, the Inn at Penn and the Sheraton, fill up quickly for the move-in period. They might take a look at other hotels in Center City or take advantage of Destination Penn in finding other accommodations within Philadelphia.

Where do I pick up my keys?
Your keys will be available from your Information Center, which is open 24 hours/day, 7 days/week, unless you arrive on Sunday, August 30, Wednesday, September 2, or Thursday, September 3 between 8:00am - 8:00pm. Should you arrive at these times, please visit the tent or table outside of your College House to pick up your keys.

Do I need a PennCard to move in?
No, if you don't have your PennCard, you can present a photo id to verify your identity.

My printer isn't working. Can I get a loading pass and temporary access passes on campus?
Yes. Loading passes will be available from the move-in staff on the street and also at your Information Center, located in the lobby of your College House.

If I'm shipping stuff to Penn, what address do I send it to?
Your mailing address as indicated in your assignment information. This information can be viewed on Campus Express.

If my packages arrive at Penn before early move-in, is that okay?
Mail and package volume prior to move-in and through the entire month of September is very high. To ensure that your packages make their way through the mail stream and to you as efficiently as possible, we ask that you time your shipping to coincide with your arrival and not too many days earlier than that date. Shipping companies such as UPS, FedEx, DHL and the US Postal Service should be able to give you some estimates as to how long it might take for a package to be delivered to Philadelphia. Please add 1-2 days to that estimate for campus processing.

Is my mailbox in my College House?
Yes. The locations differ in each building; some are located close to the house office, others are located in other service areas of your college house, such as near the Information Center or in a lobby area. Large packages can be picked up in your College House's designated package room.

What should I put on my bed - a mattress pad, egg crate or both?
This depends on your own particular choice for comfort. The mattresses are covered with heavy duty vinyl. Either a mattress pad or an egg crate provides a nice cushion between you and the mattress.

I want to buy a window fan, what are the dimensions of the windows?
The windows vary in size. Start small (12" x 12"), as many student room windows have window stops that limit how wide the window can be opened.

I'm a freshman, I'm all moved in and unpacked, now what do I do?
Enjoy New Student Orientation! Meet friends and hallmates and attend events on campus and in the city, like the Philadelphia Museum of Art or the Penntracks walking tour! For more information, visit the New Student Orientation website.

You should also get to know your Information Center Specialist and staff. They are there to assist you should you need to sign in a guest, report a lost key, and to provide other services, such as buying SEPTA tokens, stamps, and/or laundry detergent.
